What we collect
Parent or guardian information — name, email address, phone number, home postcode or address.
Child information — first name, age, school name, and any relevant needs you share with us (such as medical information, allergies, or additional support needs).
Journey and scheduling details — preferred travel methods, pick-up and drop-off locations, regular schedules, and timing preferences.
Communication records — emails, form submissions, and notes from consultations or calls.
Website data — standard analytics data such as pages viewed, device type, and browsing behaviour through cookies (see Cookie Policy).
Why we collect it
To provide our service — matching assistants, planning journeys, managing schedules.
To communicate with you — confirming bookings, providing journey updates, responding to enquiries.
To ensure safeguarding — maintaining accurate child information is essential to the safety of every journey.
To meet legal obligations — including safeguarding duties, record-keeping, and compliance with UK law.
To improve our service — understanding how families use our website helps us make it better.
Our lawful basis for processing
Contractual necessity — we need your information to provide the service you have asked for.
Legal obligation — safeguarding law requires us to hold certain information about children in our care.
Legitimate interest — we use limited data to improve our service and communicate with families, where this does not override your rights.
We never process personal data without a clear and lawful reason.
Who we share it with
Assigned assistants — your assistant receives only the information needed to carry out each journey safely (child's first name, pick-up and drop-off locations, relevant needs, and your contact number).
Safeguarding authorities — if we have a safeguarding concern, we are legally required to share relevant information with the appropriate authorities.
Analytics tools — we use website analytics to understand how visitors use our site. This data is anonymised and used to improve the website experience. We do not share personal information with any third party for marketing or advertising purposes.
We do not sell personal data. We never have and we never will.
How we store it
All personal data is stored securely using encrypted digital systems. Access is limited to authorised KinRoute staff only. We review our security measures regularly. Paper records, where used, are stored securely and destroyed when no longer needed.
How long we keep it
Active families — data is held for the duration of your service and for 12 months after your last booking.
Enquiries that do not proceed — data is deleted within 6 months of your last contact with us.
Safeguarding records — retained in line with statutory requirements, which may require longer retention.
You can request deletion of your data at any time (see Your Rights below).
Your rights
Under UK GDPR, you have the right to: access your personal data and request a copy of what we hold; correct any inaccurate or incomplete information; request deletion where there is no legal reason to retain it; restrict or object to processing in certain circumstances; and request data portability.
